How much does it cost to scan documents? The cost of document digitization can vary depending on several factors, such as the volume of documents, the level of complexity, the format and quality of the original documents, the desired output format, and any additional services like indexing or optical character recognition (OCR). Here's a breakdown of some factors that can affect the cost:

For most situations the following rates will apply:

Full-Text $0.01

Full-Text Indexing is in which the computer creates an index consisting of all words (except stop words) in the documents along with pointers (locations) to locate the words in the documents.

Medical Chart $0.75

Indexing by picking up information from a chart, such as last name, first name, and then transferring that information into a file name. Ex. "SMITH, John.pdf"

How Many Documents

How Many Documents are in a Box?

Determining how many documents you have is not so difficult if you just know how many sheets are in a typical container.

The following are the typical numbers of pages per container

Legal/Letter (Bankers) Box 2,000 - 2,500 pages
Long Bankers/Transfer File Box 4,500 - 5,000 pages
Vertical File Drawer 18” 3,000 - 3,600 pages
Vertical File Drawer 24” 4,500 - 5,000 pages
Lateral File Drawer 36” 7,000 - 7,500 pages
Lateral File Drawer 48” 9,000 - 9,600 pages

Exact count

There are about 170 sheets of paper per inch. In a tightly packed box you will have about 200 sheets of paper per inch.

In order to calculate how many exactly documents you have, you will have to figure out two variables. First you will need to know how many inches of paper you have. Secondly, you will have to figure out how much paper you have in an inch. Once you have both of those numbers just multiply them out and that will give you a great idea of how many documents you have.

To figure out your sheets per inch number just look inside your containers and count how many files you have in one foot. Then you will have to count how many sheets are in your typical file. Just open up one or two files and physically count how many sheets are in each file. Average that number out and multiply the number of documents in that one foot section times the average file length and that will give the approximate number of documents you have per foot. Multiply that number by the total lineal feet of container space you have.
